Import from Google Drive, OneDrive, or SharePoint
Connect Google Drive or Microsoft 365, choose PDF or DOCX sources, confirm the workspace audience, and import private copies for accessibility review.
Updated
- For
- Workspace editors, administrators, and owners
- Typical time
- Varies with provider consent and processing
Before you start
- Editor, administrator, or owner access in the intended workspace
- A provider configured for this installation; unavailable providers need setup by the service operator
- Access to a PDF or DOCX source and authority to share a copy with the workspace audience
- An active plan with remaining document allowance and a file within its upload limit
Procedure
Step by step
Check the workspace and provider availability
Open Settings, then Cloud storage. Confirm the current workspace before connecting an account. A provider marked unavailable requires installation setup; a sign-in attempt cannot supply missing provider registration or credentials.
Connect your account and review consent
Choose Google Drive or Microsoft 365 and complete the provider’s authorization. Google uses a selected-file grant with Google Picker. Microsoft supports work and school accounts and requests delegated read access for files and SharePoint sites, plus renewable access; organizational policy may require administrator consent. Connecting alone does not import a file.
Choose supported source files
Use Google Picker, or browse organizational OneDrive folders and SharePoint document libraries. Select PDF or DOCX sources, then review the tracked metadata. Up to 20 files can be selected at once, with at most 100 tracked sources per connection. Native Google documents must first be exported to PDF or DOCX where supported.
Confirm the audience and import a private copy
For each source, affirm that you may share it with the current DocAccessible workspace, then choose import. The copy follows workspace membership rather than the external file’s sharing list. Normal file validation, malware checks, upload limits, and document allowance apply. Inspect the processing result and review the output before a separate publication decision.
Check for changes when you need a newer revision
Run a source check to refresh revision and access information. Checking is on demand. A changed source can be imported as another private document for review; it does not replace an earlier copy or published version. If the source changes during download, review the refreshed source before trying again.
Source permissions and workspace permissions differ
These connectors read metadata and download selected sources. They do not change the external file, write back corrections, or synchronize source access controls. Microsoft’s delegated read permission is broader than Google’s selected-file grant, although imports still require an explicit selection and confirmation.
Connections and tracked source metadata are visible to the connecting user in the same workspace. Imported documents follow normal workspace access. Losing source access blocks future imports; it does not withdraw a previously authorized copy or automatically unpublish a document.
Supported accounts, formats, and provider setup
PDF and DOCX are supported. Native Google Docs, Sheets, and Slides are not imported directly; export a supported source first. Microsoft uses the global Microsoft Graph service for organizational accounts. Personal OneDrive, sovereign-cloud endpoints, and remote-item shortcuts are not supported; open the original library for a shortcut’s source.
Availability depends on registered OAuth applications, configured credentials, and the account or tenant’s consent policy. Automated provider tests do not establish a successful credentialed connection for your organization. Protected or download-restricted content can be rejected even when its metadata is visible.
Retry an import or disconnect safely
A retry of the same source revision recovers its existing imported document without charging a second document allowance. A newer revision consumes normal allowance as a new private document. If a previously imported document was deleted, that revision is not silently recreated: import a new source revision, or deliberately stop tracking and select the source again.
Stored refresh credentials are encrypted. Disconnecting deletes the local connection credentials, tracked sources, and import pointers. It retains documents already imported into the workspace. Use normal document controls to delete those copies, and the provider’s account or organization application settings to remove its consent grant if needed.
Resolve a blocked import
For lost or expired access, reconnect and confirm that the signed-in account can still download the source. For tenant consent restrictions, contact your organization’s administrator. For allowance, size, invalid-file, or malware rejection, resolve the displayed cause before retrying. A rejected import does not authorize bypassing the provider or workspace restriction.
