DocAccessible Exchange

Standalone plan  ·  $19 / month

Manage external document remediation in one case.

Keep the source file, vendor access, returned revisions, reviewer decisions, and final delivery together. External collaborators see the assignment—not your workspace.

Exchange is workflow software. Vendor fees are separate. DocAccessible agency remediation is $5 per page for projects of 501 pages or more.

One accountable path

Follow the file from intake to delivery.

Exchange makes the owner of the next action visible without giving every participant access to the whole system.

  1. 01

    Your team

    Open a document case

Add the source file, deadline, instructions, and internal reference. Every revision stays attached to the same case.

  2. 02

    External vendor

    Work through restricted access

Invite a vendor to a case-scoped portal. They can see and update only the assignment you shared, not your workspace or other documents.

  3. 03

    Your reviewer

    Review the returned revision

Review the vendor's evidence against each required outcome. Approval remains blocked until every required check is passed or formally waived.

  4. 04

    Recipient

    Deliver one approved file

Issue an expiring, revocable link for the approved revision. Download limits reduce the risk of a link living forever in an email thread.

Acceptance evidence

Define finished before the file comes back.

A status alone does not prove a document was remediated. Set the required outcomes, ask the vendor to record how each one was checked, and keep final approval locked until review is complete.

Vendor evidence required

A note, returned revision, or validation artifact can be attached to the exact acceptance item.

Deadline risk stays visible

Due-soon, overdue, and changes-requested cases surface in customer and platform operations views.

What Exchange is

A secure operations layer for document work.

  • A single case record for instructions, files, deadlines, and decisions
  • Restricted vendor access without a full workspace account
  • A review gate before a returned file becomes the approved version
  • Expiring and revocable delivery for the final recipient

What Exchange is not

It does not replace the people doing the remediation.

  • It is not an unlimited automated-remediation subscription
  • It does not include vendor fees or DocAccessible specialist labor
  • It does not certify that a returned document conforms to WCAG or PDF/UA
  • It does not promise to preserve an original PDF layout by itself

Designed around least access

Share the assignment, not the workspace.

Exchange limits what an external participant can reach, keeps the file history visible, and gives the final recipient a link you can still control after sending.

01

Case-scoped access

A vendor invitation opens one assignment, not a customer account or workspace directory.

02

Immutable revision history

Uploads become numbered revisions with file metadata and SHA-256 integrity records.

03

Controlled delivery

Recipient links can expire, be revoked, and stop after the configured download limit.

04

Evidence-based acceptance

Case requirements record what was checked, the vendor's evidence, and the reviewer's decision before approval.

Plan boundaries

Enough capacity for a real vendor queue.

The $19 price stays predictable because the plan covers the workflow software, with clear limits instead of surprise overages.

Questions before you start

Know exactly what you are buying.

Does the $19 subscription include document remediation?

No. Exchange is the coordination and secure-delivery software. Your own team or an invited vendor performs the remediation. DocAccessible agency remediation is a separate $5-per-page service for projects of 501 pages or more.

Is Exchange included in every plan?

Yes. Free includes 2 active cases, Pro includes 10, and Team includes 50. The $19 Exchange plan is an operations-only option with 250 active cases and 3 internal operators for organizations that do not need automated remediation.

Can a vendor see the rest of our workspace?

No. Vendor access is restricted to the specific case associated with the invitation. It does not expose your other cases, documents, members, or workspace settings.

Does Exchange preserve the exact appearance of a PDF?

Exchange does not alter or remediate the file itself; it coordinates the human workflow around it. A skilled vendor can manually remediate the original PDF when exact layout, pagination, forms, or print behavior must remain intact.

Can we use it for secure document sharing?

Yes, when the sharing belongs to a document case. Exchange adds approval, version history, expiration, revocation, and download limits so the final handoff is more controlled than a permanent attachment or open drive link.

How does Exchange prevent an incomplete file from being approved?

Each case starts with editable verification requirements. The vendor submits evidence for every required outcome, and a workspace reviewer passes, returns, or formally waives each item. Exchange blocks final approval while any required item remains unresolved.
