At a glance
Use one row per known PDF URL and keep page evidence separate from owner decisions. The free Excel and CSV templates include fictional examples, a field dictionary and instructions. Replace the examples before use; the sheet does not crawl, count PDFs or certify accessibility.
The download includes ten editable columns and a separate instruction sheet in Excel.
| Document | Confirmed pages | Count result | Next action |
|---|---|---|---|
| Example annual report | 24 | Counted | Review current use |
| Example application | Unknown | Password required | Obtain readable source |

Keep source evidence in the same row
Record the public address, current revision and verified count together. Add an observed SHA-256 digest or identity group only when you have evidence; the template deliberately has no invented sample hashes. A blank digest means identity is unestablished.
Keep the owner and next action separate from count evidence. An obsolete file can still have a valid page count, while a current important source can be uncounted. Record both without turning the count result into an accessibility or publication verdict.
- Delete the fictional EXAMPLE rows before entering your records.
- Save collection date, scope and tooling in your project notes.
- Keep unknown page counts blank and retain their reason.
- For unique totals, count one verified row per identical-byte group.
- Keep all publication URLs even when the source is identical.
Choose a consistent total
To describe the public footprint, sum confirmed pages across counted URLs. To estimate work once per identical source, select one verified row per identity group. Label the result and retain the number of unknown counts beside it.
Save discovery scope, collection time, count-tool version and unresolved website areas in your project notes. The spreadsheet cannot reveal documents that never entered the list. Reconcile it with owner-held CMS records when broader completeness matters.
Use stable IDs when the list changes
Keep the record ID when sorting, assigning work or importing another report. A changed source at the same URL needs a new revision observation. Preserve dated snapshots so a reviewer can see which bytes and count were used for an earlier estimate.
Worksheet fields
The records sheet has 10 columns. Keep a stable ID and source evidence when sorting or extending it.
| Column | How to use it |
|---|---|
| Record ID | Your stable row identifier; retain it when sorting. |
| Document | Human-readable title, not just a filename. |
| Public URL | Public download address without credentials or private report tokens. |
| Source revision | Owner-confirmed version or collection identifier. |
| SHA-256 | Observed byte digest; leave blank when identity is unknown. |
| Identity group | Your exact-byte group; do not group on filename alone. |
| Confirmed pages | Positive verified count; leave blank when unknown. |
| Count result | Counted, recovered count or uncounted with a fixed reason. |
| Owner | Team responsible for the source and publication. |
| Next action | Concrete review or retrieval action. |
