The standard rate is $5 USD per accepted source page, regardless of page complexity. We accept bulk projects that exceed 500 source pages—501 pages or more—so the minimum eligible standard engagement is $2,505 before applicable tax. A written project order must be accepted before work begins.
1. Relationship to the SaaS platform
Manual remediation is a professional service separate from Free, Exchange, Pro, and Team software subscriptions. A platform subscription does not include agency labor, and purchasing agency work does not include a paid software plan unless the project order says so. Projects at or below 500 pages can use the self-service platform or coordinate another qualified vendor through Exchange.
2. Eligibility and standard price
The agency accepts projects with a confirmed total exceeding 500 source pages. The standard unit price is $5 USD for each accepted source page. The same per-page rate applies to text, tables, forms, charts, images, scans, and other page layouts; we do not add a complexity multiplier. The project order will state the accepted page count, total price, tax treatment, payment schedule, source files, deliverables, and any excluded material.
A “source page” is one page reported by the accepted source PDF at intake. Pages intentionally excluded in the project order are not billed. Duplicate, blank, scanned, or complex pages are billable when included because they still require review and a disposition. Added or replacement pages submitted after intake are billed at the same $5 rate through a written change.
3. Intake and acceptance of a project
An inquiry or file transfer is not an acceptance. We first confirm total page count, file integrity, password or permission constraints, target output, languages, requested standard, review evidence, source stability, and delivery expectations. We may decline content we cannot lawfully, safely, or competently process. No schedule, staffing, or capacity is committed until both parties accept a written project order and any required initial payment is received.
4. Standard remediation scope
Unless a project order narrows or expands the scope, work may include:
- logical tags for headings, paragraphs, lists, tables, figures, links, annotations, and artifacts;
- reading and tab order appropriate to the visible content;
- document title, language, bookmarks, and relevant metadata;
- table headers, spans, scope, and cell relationships supported by the source;
- alternative text or a flagged-content workflow for images and diagrams;
- form labels, required-state information, and keyboard order where forms are included;
- automated validation plus the manual checks listed in the project order; and
- delivery of the remediated PDF and agreed evidence summary.
5. Boundaries and customer decisions
Remediation repairs accessibility structure but does not rewrite inaccurate content, provide legal advice, translate language, redesign the document, or infer facts not present in the source unless expressly ordered. Meaningful alternative text, complex data visualizations, ambiguous reading order, or inaccessible source content may require customer subject-matter decisions. Waiting for those decisions can affect delivery dates without changing the per-page rate.
6. Customer responsibilities
The customer will:
- provide final, complete, lawful, non-corrupted source files and required passwords through the approved secure route;
- identify the intended audience, publication context, applicable standard, forms, scripts, signatures, or archival constraints;
- designate a decision-maker who can answer content questions and accept deliverables;
- avoid changing the source while work is underway, or approve a change for replacement pages;
- review delivered files in the real publishing environment and with relevant organizational stakeholders; and
- pay invoices according to the project order.
7. Quality assurance and claims
The project order will name the validator, manual review depth, assistive technology, sample or full-document checks, and acceptance criteria included. A validator pass or completed remediation does not by itself guarantee legal compliance, every user's experience, or future conformance after the file is edited or republished. We do not describe the deliverable as certified unless a separately qualified certification engagement and evidence expressly support it.
8. Schedule, delivery, and acceptance
Timing depends on current capacity, total pages, file readiness, customer response time, and the agreed review method. Complexity does not change the $5 unit price, but it can affect scheduling and the sequence of batches. Only the schedule in the accepted project order is a commitment. Delivery occurs through the agreed secure method. The customer will review within the acceptance window in the project order and report reproducible departures from the agreed scope.
9. Corrections and changes
We will correct verified failures to meet the written acceptance criteria that are reported within the agreed review window. A new source version, added page, changed requirement, expanded standard, additional output format, or work outside the accepted scope is a change. Approved added or replacement pages retain the $5 per-page rate; other non-page deliverables require written pricing.
10. Payment, pause, and cancellation
The project order sets deposits, milestones, invoicing, currency, and tax. We may pause work for an overdue payment or missing customer input. If the customer cancels, it must pay for pages completed, work in progress, and non-cancellable capacity or costs committed under the project order. If we cancel for reasons other than customer breach, we will refund prepaid fees for work not performed. Software subscription refunds follow the separate Billing & Refund Policy.
11. Confidentiality, privacy, and security
Each party will protect the other's non-public information and use it only for the project. The customer should not email sensitive documents; we will arrange a secure transfer. The Privacy Policy and, when applicable, the DPA govern personal data. A project order may add retention, deletion, access, or provider requirements that we have confirmed we can support.
12. Ownership and license
The customer retains ownership of source content and represents that it has authority to provide and modify it. After full payment, the customer owns the remediated deliverable to the same extent it owns the underlying content. DocAccessible retains its pre-existing tools, templates, methods, know-how, software, and generalized skills. The customer grants the limited license needed to copy, modify, test, and deliver the files for the project.
13. Warranties and liability
We warrant that services will be performed professionally and substantially according to the accepted project order. The correction process is the first remedy for a scope failure. Except for express project-order commitments and rights that cannot be excluded, other warranties are disclaimed. Liability is subject to the limitations in the Terms of Serviceor signed project order. Neither party is liable for delay caused by events beyond reasonable control, including delayed customer decisions or defective sources.
14. Precedence and contact
